Privacy Policy

🔐 The short version
- Session data (the files the agent reads, logs, and your messages) is stored to run the service, and is deleted on request
- We never share your case files or identifying data with third parties
- We may derive anonymized diagnostic patterns to improve the assistant — never your case files, geometry, or identifying values
- Diagnosis is processed by a third-party AI provider located in the United States; compute and database are hosted in the EU
- All data is encrypted in transit (HTTPS/TLS), and CFDpilot is built for engineers working with confidential and proprietary data
1. Who we are
CFDpilot is an AI-powered diagnostic assistant for OpenFOAM simulations, operated by CFDPilot LLC, a limited liability company registered in the State of New Mexico, USA.

2. What data we collect
When you use CFDpilot, we collect:
- Case content — the configuration files, log excerpts and other case data the agent reads in order to produce a diagnosis, together with your messages. This content is transmitted to our AI provider to generate the response and stored as a session record.
- Account information — email address and name associated with your access token.
- Usage data — number of sessions, token and compute usage, timestamps, for billing and product improvement.
3. How we use your data
We use your data to:
- Generate the diagnosis and answer your questions (processed by a third-party AI provider)
- Operate the service: metering credits, debugging failures, support, and session continuity (resuming a previous session)
- Improve the assistant through anonymized diagnostic patterns distilled from resolved sessions (for example: "this solver plus this misconfiguration causes this failure"). These patterns never contain your file paths, names, geometry, project data or any identifying values.
We do not:
- Sell your data
- Share your case files or identifying data with third parties beyond the processing described in section 6
- Use your identifiable case data to train external AI or machine-learning models
If you do not want your sessions used for the anonymized improvement described above, tell us and we will exclude your account.
4. Legal basis for processing (GDPR)
We process your data on the following legal bases:
- Performance of a contract — to provide the diagnosis and service you requested.
- Legitimate interest — to operate, secure and improve the service, in a way that does not override your rights.
- Consent — for optional analytics cookies (see section 8).
5. Data retention
Session records (case content read, logs, messages, usage) are kept while your account is active, to provide history, billing and support. You can request access to, or deletion of, your data at any time by emailing rayan@cfdpilot.com; we act on it within 30 days.
6. Third-party services and international transfers
CFDpilot relies on the following processors. Some are located outside the EU (notably in the United States); such transfers are covered by the providers' data processing terms and standard contractual clauses.
- A third-party AI provider (United States) — the large language model that generates the diagnosis. Your case content is sent to this provider for processing under their commercial data terms; the provider does not train its models on this data by default.
- A third-party embedding provider (United States) — used only to compute text embeddings for our CFD knowledge base. Your case files are not sent for this.
- Railway — application hosting and compute (EU region).
- Neon — database (EU region).
- Stripe — payment processing. We never store payment card details.
- Google Analytics 4 and Microsoft Clarity — website analytics (page views, session duration, heatmaps). See section 8; you can opt out of these.
7. Your rights (GDPR)
If you are located in the European Union, you have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Object to processing of your data
- Request data portability

8. Cookies
CFDpilot uses essential cookies and localStorage to maintain your session. We also use Google Analytics and Microsoft Clarity, which set anonymous analytics cookies to help us understand how the product is used. No advertising or profiling cookies are used. You can disable analytics cookies via your browser settings or Google's opt-out tool.
9. Changes to this policy
We may update this policy as the product evolves. We will notify registered users of material changes by email. The latest version is always available at this URL.
